Microsoft Outlook - undeliverable - btinternet suspects your message is spam

For the last 6 months or so I have been receiving messages titled "Microsoft Outlook - undeliverable" within which the recipient gets the following key message: "btinternet.com suspects your message is spam and rejected it"

Below this, there is a whole lot of other information for Email Admins which contains a lot of data I do not want other people to receive, such as any forwarding e-mails that were used. I recently received a malicious e-mail and this non-delivery message "kindly" gave the recipient two of my other e-mail addresses!

I want to switch this off, but despite searching btinternet settings extensively, can't find where these messages are created and more importantly, how to switch them off.

If BT is the originator, I think it is incumbent on them to revise this system or at least give users access to it so they are in control of their own sensitive data, not BT.

I hope someone can help me out with this because I have contacted Microsoft (not coming from them they say) and BT, but the latter were completely incapable of putting me in touch with someone who even knew what I was talking about!

@TimCTF I can't think of a situation where we would share that kind of info with the recipient, do you have an out of office or auto reply that shows those emails?

If you could post a screen shot of the of the non-delivery message ensuring to block out the addresses we'll be happy to take a look.

Hi, welcome to the forums.

This sounds like one of a couple of things, nothing to do with either Microsoft or BT.

A spammer has "chosen" to use your email address in their spam run, and you are getting the non delivery messages or something along those lines.

If you received a NDR which contained lots of email addresses, including some of your other addresses, there is frankly nothing you can do. I assume the original email went to possibly 10s of 1000s of addresses, a few of which you may have seen - and any non deliveries will end up at your email address as the spammer has used that.

There is a possibility that you may have a compromised system, especially if your other addresses are showing - however if these are called username1 or username2, then that's again another spammer trick. (Not just numbers, the spammers use all sorts of dictionary techniques to add to email address basic names and assume they might exist).

Not sure what you mean by switching things off, this appears to be something out of anyone's control.

Thanks for your response Neil. The message is very long so I can't really send it as a single screen shot, but I've copied it in its entirety and hope that it will paste in below. There are only my e-mail addresses contained within it.

One thing I should say is that I currently forward all the mail that gets sent to my btconnect address to my btinternet address because I was unable to set up btconnect on Outlook 365. Also, as I mentioned, I have spoken to Microsoft and they said they didn't recognise it as anything that came from them. I am receiving several of these messages every day and even one that I sent to myself from a gmail address.

 I'd be really grateful if you can recognise what is causing the problem and many thanks in anticipation of that.

How to Fix It

Try to modify your message, or change how you're sending the message, using the guidance in this article: Bulk E-mailing Best Practices for Senders Using Forefront Online Protection for Exchange. Then resend your message.

If you continue to experience the problem, contact the recipient by some other means (by phone, for example) and ask them to ask their email admin to add your email address, or your domain name, to their allowed senders list.

When Office 365 tried to send the message to the recipient (outside Office 365), the recipient's email server (or email filtering service) suspected the sender's message is spam.

If the sender can't fix the problem by modifying their message, contact the recipient's email admin and ask them to add your domain name, or the sender's email address, to their list of allowed senders.

Although the sender may be able to alter the message contents to fix this issue, it's likely that only the recipient's email admin can fix this problem. Unfortunately, Office 365 Support is unlikely to be able to help fix these kinds of externally reported errors.

@TimCTF thanks for getting back to me, the messages are being blocked by the spam filters as they are recognising that the facebook email is not being sent directly from facebook and that is detected as being suspicious as this is a method that scammers use to send non genuine emails.  It appears that the filters are doing exactly what they are meant to do in this situation and I apologise for any inconvenience caused. From the details you've posted it doesn't indicate that your email addresses are being shared with anyone they shouldn't as the bounce back is being sent to your @btconnect.com address

Thanks again Neil for the explanation, which confirms what I suspected but I'm still concerned about the amount of information which is sent out to the sender under the "More info for e-mail admins". Does it need to be that extensive and detailed?

Additionally, the filter does not seem to be consistent, some messages that come via the Facebook source (the message I sent to you seemed to have a Facebook origin (@facebookmail.com)) are blocked, some aren't.

I would also like to receive some of the original e-mails that have been rejected but I can't find a mechanism to do that. At the moment they have to reside in my different folders with just the main heading "Microsoft Outlook". This means that I have to open them initially to check what they are and then find them again later if I need to note their contents.

Lastly, if I add particular senders or generic sources to my "safe senders" list, will that avoid them being rejected?

@TimCTF No problem, there's no need for any concern regarding the info in the rejected email notifcation as it relates to the senders email and the only sensitive info is the recipients email which they already know as thats the intended destination. 

With regards to some emails getting through and others being blocked thats down to a combination of factors that the filter takes into consideration when deciding if an email is spam or not, adding your @btconnect email address to the safe senders list in your @btinternet.com email account may help but I can't guarantee this will be 100% effective.

With regards to managing or adding your @btconnect email address to Outlook I'm afraid this is not something I can assist with as we don't provide technical support for email clients ''sorry'' (BT only support our webmail service on www.bt.com/mail) however some of our forum members may be able to help you with your Outlook settings.

The problem is that this is not a facebook email, it has been forwarded from btconnect to btinternet - but fails. In my view the spam filters are NOT doing what they are meant to do. The spam filters are interpreting the email wrongly.

As Neil has said, no-one received anything for this bounce message apart from you. The fact that a massive amount of details is returned is pretty much what all systems do on bounce messages. The main reason is to try to determine why the bounce may have occured.

Can you say what particular issue you have with adding a btconnect address to Outlook? Naturally this is a business account which should be aimed at the business forums, but there are specific details for office 365 accounts (which btconnect now uses). Also unless you are premium, I don't think IMAP is available.

Thanks Andy, you are correct, the mail was forwarded from by btconnect account. It's nearly 2 years ago that I tried to set up btconnect on Outlook 365 so I'm afraid I've forgotten what the issue was - all I remember is that it just would not set up in the way other accounts did with no problem. Maybe BT have now solved the issue, but I've diverted so many of my contacts to btinternet that I'm not inclined to revert!
