We're moving to Digital Voice in a week and we were wondering if we just need to connect our DECT phone to the phone socket on the back of the Smart Hub 2 modem.

Yes, that is all you need to do.
Will BT let us know the moment we've moved over to Digital Voice?
It says in the e-mail within 48 hours of the 3rd February but I was wondering if this could be the 1st February.

You may well get an email saying the switch to digital voice is complete. Something like this
I was changed over yesterday. I got an email at 9am saying I was good to go.
I kept checking my phones and still had dial tone. Still had it at 7pm, checked again at 9pm and the line was dead so changed over the phones and all working ok.
Seems the actual change can be at any time so you just need to keep checking your existing phone.
We've got another DECT phone which we keep downstairs.
Do we need the Digital Voice Adapter to continue using it downstairs?

No, thats just a handset.
Just consider the green socket at the rear of the hub to be exactly the same as your phone socket now.
